Start with the invoice basics

Every freelancer invoice should make the payment request easy to understand. Add your business name, address, email, phone number, client name, client contact details, invoice number, issue date, and due date. These fields help both sides identify the invoice later and reduce back-and-forth messages.

Invoice numbers are especially useful when you send multiple invoices to the same client. A simple sequence such as `INV-001`, `INV-002`, and `INV-003` is enough for many freelancers, as long as you use it consistently.

List work clearly

Break the invoice into itemized rows. Each row should describe the service, quantity or hours, rate, and amount. For example, instead of writing "website work", use a clearer line like "Landing page design and handoff". Clear item names help clients approve payment faster.

If you offer packages, you can still use itemized rows. Add one row for the package and supporting rows for add-ons, revisions, or rush work. This helps the invoice stay readable without hiding what the client is paying for.

Add GST, discounts, and totals carefully

Before sending an invoice, preview the PDF. Check spelling, totals, client details, tax fields, payment instructions, and branding. If the invoice looks professional, clients are more likely to treat it as an important payment document.
